Summarizing Data in Reports and Displaying a
Chart
104
As you are working with reports, columns (fields) are displayed in the lists on the right
side of the window. Some activities automatically clear these lists, in order to display
different information. For example, if you Edit a saved report to open it, the criteria from
the saved report replace any criteria previously.
When you are creating a standard or custom report that has not been saved, you will
want to start fresh, without any entries in the lists on the right. Start by clicking the
button at the top of the screen. All entries in the list boxes at the right are cleared, and
the Folders in the list of Reports close.
You can summarize certain types of data and add the summary to the report.
For example, if you want to know the number of conferences that each user has
scheduled, you can have Polycom ReadiManager LX100 count the conferences per
user and add a column with that data to the report.
In order to summarize data, the report must be grouped by the field you want to
summarize—that is, you must have added that field to the Grouped Fields list box.
Once you have summarized data, you can view it as a chart.
To add summary data to a report
1.
Add the fields you want to include in the report to the Display Fields list.
For example, If you want to see the number of conferences per user, you could
add Employee First and Last names from the Employee Table, and Conference ID
from the Conference table. (Note that this particular example requires a Custom
report in which two tables have been joined. For more information how to create
this type of report, see
Creating Custom Reports
on page 109.)
