VOICE MAIL

Voice mail services are available only on those systems equipped with the optional voice mail module.
Up to 40 extensions can be allocated voice mailboxes. The 20 ring groups can also be allocated voice
mailboxes. A further 10 mailboxes, not associated with extensions or groups, can also be programmed.
These are called Phantom mailboxes and can be used for people who do not have a dedicated extension.
The maximum number of messages that can be stored in a mailbox is 20 at power up. This number is
programmable.
The maximum message and greeting length is programmable between 60-300 seconds
at power up is 60 seconds.
Unretrieved messages are deleted in 15 days and retrieved messages are deleted in three days. An option is
provided to save messages so that they are not automatically deleted.
An extension must be allocated a voice mailbox before it can use voice mail. By default, extensions are
not allocated a voice mailbox.

To Allocate a Voice Mailbox to an Extension

From the Programming extension, press the PROGRAM key.
•
Press the Scroll Down key ( ) until "System Programming" is displayed.
•
Select "System Programming".
•
Enter the System Programming Password and select "Extensions".
•
Press the Scroll Down key ( ) until "Voice Boxes" is displayed.
•
Select "Voice Boxes".
•
Two options are presented, "Standard Voice Boxes" and "Information Only VB"
•
Select the extensions that require a voice mailbox.
Note: To assign group and Phantom mailboxes, press the Scroll Down key ( ) until "Other" is displayed.
Select "Other". Select either "Group" or "Phantom" as required, and selected the appropriate mailboxes
required. Press the speakerphone key to finish programming.

Note: A " " symbol will indicate what mailboxes have been assigned.
Note: When allocating a mailbox, the Forward No Answer to voice mail feature will be activated
automatically.

SETTING UP VOICE MAILBOXES

When a voice mailbox has been allocated to an extension the user should set up the mailbox by recording
greetings and their name.

To Record Voice Mailbox Greetings

Each extension, group, phantom and system voice mailbox has two programmable greetings.
These are the "Primary Greeting", this is the main greeting recorded by the user, or the "Alternate
Greeting" which is also recorded by the user.

At your extension, press the MESSAGE key.
•
Select "Voice Messaging".
•
Enter your extension number when prompted.
•
Enter your voice mail password (1111 by default) followed by #.
•
Select "Greeting".
•
Select the primary or alternate greeting.
•
Select "Record Greeting".
•
Speak to record the greeting when prompted.
