Registration Reference Manual
This utility provides information regarding the number of registered patients
living within a given radius of a single postcode (eg. that of a pharmacy or
practice). There is the option to select patients by Dispensing Flag and/or
practice and patients registered with dummy GPs may be excluded. A patient count
will be sent to the specified email address. A UNIX download of patient details
may also be requested.
Please note that this utility calculates distances using the grid reference
associated with a postcode and therefore has the following limitations:
* Patients without a postcode will not be included.
* The grid references used are only accurate to within a 100 metre square.
* The grid reference associated with a postcode is an "average" for all the
delivery addresses in the postcode and as postcodes may cover a large area it
is possible that some of the properties within the postcode may be a
considerable distance from the point used for the distance calculation.
Therefore if a patient is to lose their dispensing status as a result of the
data provided by this utility and their property is close to the boundary it is
recommended that the distance is manually checked using another method.

Utility to List Patients within a Certain Distance of a Postcode
Email Contents
When the job finished processing, the system will send an email to the address you
entered. The email is sent from the address PMAPUTIL.cipher@cfhsds.nhs.uk
where cipher is the NHAIS system which ran the job. The email will contain:
• the number of patients found within the required distance
• the type of dispensing flag – if selected
• whether patients registered with dummy GPs were included or excluded
• the name and location of the Unix file – if one was requested
A count of patients for which a distance cannot be calculated, either because they have
no postcode or their postcode has no grid reference, will also be reported in the email.
For example, the body of the email will show something similar to this:
24 patients with a dispensing flag were found within 5 km of EX1 3SY.
Patients registered with dummy GPs were excluded.
No patient details were requested.
13 patients were found for which the distance could not be calculated.
