How to Setup a Delegate Account for a Room
The procedure to follow depends on the specific release used for mail and calendar
(Microsoft Office365 or Microsoft Exchange Server). Instructions for Office365 Exchange
Online or Exchange Server 2013-2016 listed below are for convenience only and accuracy
is not claimed. Please refer to official documentation and procedures available at

Pay attention to change also the default settings for the room as explained in Change
Calendar Room Resource Settings using PowerShell, if you want to see the Meeting
subject and the private flag in the endpoint calendar.
How to Setup a Delegate Account for a Room in Office365
When an Exchange Room Resource is associated with an Avaya Video Endpoint in a
physical room, the room's TV display shows the meetings scheduled for the day in the room.
Members of your organization can schedule a meeting in a room by adding the room to the
meeting. Such physical rooms are reserved as a calendar resource through the Exchange
Calendar service.
Authorizing a video endpoint to have access to calendar resources enables users to start
and join meetings in the room using one touch.
Before you can use the calendar service for Rooms, an Office365 administrator must do the
following steps for your organization, if not already done:
After the Office365 administrator completes all steps in each section, you can then use the
credentials of the dedicated user (Room Delegate) to configure the Calendar service for a
specific room in the corresponding video endpoint settings.
Prerequisites
Create a Dedicated User in Office 365 for Rooms

As it is a known address, it can be left empty in the endpoint Calendar
configuration.
Create a dedicated user in Office365 who can manage calendars
Create or locate a calendar resource for each Room
Enable the dedicated user to have full delegate access to each calendar
resource
Enable the dedicated user to edit each calendar resource
Update the settings for each calendar resource using Windows PowerShell

An Administrator Account with permission to create a new user on Office365
The ability to create and manage calendars for rooms resources
Sign in to Office 365 as an admin.
Add a user in your Office 365 account. See the Microsoft documentation "Add users to
Office 365" for instructions. For instance, create an account named
roomadmin@mycompany.com.
Make note of the email address and password for this account.
