Outside callers who have never encountered a voice message system should be given
clear instructions on what to do when they reach the system. Since mailbox numbers
are generally the same as the extension numbers, a caller can leave a message in the
correct mailbox by just dialing * before the extension number of their intended
party. By customizing the system greeting, explicit directions can be given to the
outside caller.
For example, ʺIf you know your party's extension number, please dial it now, or dial zero
for the Operator.ʺ
Working with System Greetings
You can listen to (or play) system greetings at any time. Any of the greetings can be
recorded or erased at any time. You can customize a greeting to meet your
organizationʹs needs by recording new greetings as required.
Follow these steps to listen to, record, or erase CCR mailbox greetings,:
1. Access the System Administratorʹs Mailbox as described on page 6-1. The
Administrator's Options Menu now plays.
2. Dial 1for System Greetings. The system will prompt you for the greeting
number (1-9).
3. Enter the greeting number you want to work with. You will be prompted with
the following three choices:
a. Press 1 to review - The greeting selected will be played.
b. Press 2 to record - You will be prompted to record the greeting selected
in Step 2. When you have finished recording, press # to save the
recording.
c. Press 3 to delete – The system will announce that the greeting selected
in Step 2 is deleted: "Greeting has been erased".
