  • Page 9: Chapter 1: Introduction

    MasterDirectory enables you to take specific data from a single data source or multiple data sources and create one master database. For example, maybe all the information comes from a single source (such as the Human Resources database), but the phone numbers must be maintained manually by the phone operators.
  • Page 10 MasterDirectory User's Guide With MasterDirectory, you can add, modify or delete records in the directory and change the settings associated with the directory (for example, change the title of the directory and specify the indexes for the file). Create the export map(s) for the directory (Chapter 5).

    • Search box, located beneath the MasterDirectory display, enables you to specify a search value. • Sort By box, located next to the Search box, enables you to specify the field you want to search and sort by.
  • Page 15 New: Allows you to create a new master directory. Open: Opens an existing master directory. Print: Prints information from the directory. MasterDirectory enables you to specify the information that you want printed. Search Entry: Allows you to search for a specific entry.

    Chapter 3: Working with Directories Overview MasterDirectory enables you to create, open, and modify directories. With MasterDirectory, you can import data from multiple sources (Chapter 4), and then export the data to create and update corporate directories (Chapter 5). Each directory is associated with a configuration file (.md), a database file (.dbf) and an index file (.cdx).

  • Page 19 Chapter 3: Working with Directories To create a new directory: From the File menu, choose New. The Create New Directory dialog box appears. Perform one of the following steps: • If you do not want the new directory to have the same structure as an existing directory, choose the Create a new directory schema option button, and then choose the OK button.

If you want this field to be required, select the Required Field check box. If you want the values of this field to be selected from a Pick-List, select the Values come from Pick-List check box.

    Chapter 3: Working with Directories Viewing an Entry in a Directory To view the information for an entry in a directory: Click on the database entry that you want to view. On the toolbar, click the View Entry button. The View Directory Entry dialog box appears, showing the information for the selected entry. The following figure shows a sample View Directory Entry dialog box.

    MasterDirectory supports two types of queries: • Simple query In a simple query, you enter the criteria in which you are interested, and MasterDirectory displays the directory entries that match the criteria you specified. • Advanced query In an advanced query, you create and save queries that may contain multiple operations and use boolean operators (AND/OR).
  • Page 27 Chapter 3: Working with Directories Using Advanced Queries Unlike a simple query, advanced queries enable you to create and save queries that may contain multiple operations and use boolean operators (AND/OR). You can then run these queries immediately or run them at a later time either manually or via the Scheduler.

    MasterDirectory User's Guide Delete an Advanced Query To delete an advanced query: From the Query menu, choose Advanced. The Advanced Query dialog box appears, displaying the advanced queries for this directory. Select the query you want to delete, and then choose the Delete button.

    The changes are added to the directory. Modifying Multiple Entries in a Directory Using MasterDirectory, you can modify multiple entries at one time. These entries do not have to be related. To modify multiple entries at one time: Select an entry you want to modify, and then choose the Tag/Untag button.

    Finding an Entry in a Directory When you try to search for an entry in the directory, MasterDirectory searches only the data in the sort field, which is specified using the Sort By box at the bottom of the MasterDirectory window. (See "Setting the Display Sort Order"...

    Chapter 3: Working with Directories Printing a Directory MasterDirectory enables you to print the contents of a directory as a phone book. You can customize the page layout of the phone book by selecting which fields will be printed, fonts, headers, footers, and multi- column output.

The Open dialog box appears. Select the template you want to use, and then choose the Open button.

The Page Settings area shows the maximum column width for the phone book print out and the current width of the phone book. As you add and remove entries from the phone book, the current width changes.

    MasterDirectory User's Guide Setting the ODBC Driver Name for a Directory The ODBC Driver Name area enables you to specify the ODBC driver for Microsoft Access and Microsoft SQL Server. To set the ODBC Driver Name for a directory: Open the directory you want to change.

    You cannot add the Timestamp field to a directory after that directory is created. If a directory has the Timestamp field, MasterDirectory prompts you for your name every time you open the directory file. If any records are modified, the name you enter appears in the Timestamp field.

    These parameters are applied only when you add or modify entries in MasterDirectory. These parameters are not applied when you import data into MasterDirectory. For example, if you set the format of the Phone field to numeric and you try to add a new record that has alpha characters in the Phone field, MasterDirectory rejects the operation.

This tab displays all of the fields and their associated parameters in the directory. Select the field that you want to modify, and choose the Change button. The Field Parameters dialog box appears.

    MasterDirectory User's Guide Creating Indexes By default, the entries in MasterDirectory are sorted by the first two fields. The index that provides sort order is created with the directory. It is possible to create additional indexes for any field and change the display sort order.
  • Page 53 Chapter 3: Working with Directories The Remaining Fields list box shows the fields that are not used for indexes. You can use the following buttons to set fields that you want to use for indexes: • Add, which places the field that is selected in the Remaining Fields list box after the last field displayed in the Index list box.

    The sort order can be changed to any index field. At any time, you can change the field that MasterDirectory uses to sort the entries in a directory. Keep in mind that the sort field is the field that MasterDirectory uses when you search for an entry. For example, if you set the Phone field as the sort field, when you try to search for an entry, MasterDirectory will only search the Phone field.
  • Page 55 The order in which the fields are displayed in the Selected Fields list box indicates the order the fields are displayed in the MasterDirectory window. The Remaining Fields list box shows the fields that are not displayed in the MasterDirectory window for the directory.

    To create a shortcut to open a directory: Click the Directory Bar Admin button on the left-hand side pane. The Directory Bar Admin Bar appears. Click the Add new Directory Bar path button on the toolbar. The Select MasterDirectory File dialog box appears.

Enter a label for this shortcut, and click the OK button.     The definition of the import operation (which fields in the source will be imported to which fields in MasterDirectory, the mode of operation, etc.) is called a map. Every import operation is saved in a file with the extension ".imp." Each MasterDirectory file can have multiple import maps.

    MasterDirectory User's Guide Using the Scheduler This section describes the error messages you might encounter while using the Scheduler feature. For each error message, a discussion of what caused the problem and how to solve the problem is provided. Message: Time cannot be empty!
  • Page 201: Working With Directories

    Message: You cannot have more than XX display fields! Cause: You have specified more fields to be displayed than MasterDirectory allows. Solution: Remove fields from the list, reducing the number of display fields to be less or equal than xxx.

    You opened a directory that does not have a master index (production index). The file may not be a MasterDirectory file, or the Index file is absent or corrupted. Solution: Verify that the index file is present. Otherwise, contact CCOM.

    Message: Cannot delete current directory! Cause: You tried to delete the currently open database. Solution: Restart MasterDirectory and then delete the database without opening it. Message: Cannot open directory! Cause: The drive in /I options is write protected or has no space.

Cause: You tried to load .md file that is not a MasterDirectory configuration file or is corrupted. Solution: Check the name of the file. Message: Nothing to save! Cause: You chose the OK button in the NewDirectory dialog box with no fields in it.

    You have a single-use license. Solution: If the database file was locked by another program, wait until the database file is unlocked. If you have a single-use license, purchase MasterDirectory 2.0 or higher. Message: Cannot use memo field in import map! Cause: Source dBase file has a field that is MEMO.
  • Page 206 MasterDirectory User's Guide Message: PhoneLine initialization file name not specified! Cause: The .INI file name edit control is empty, and you chose the Next button. Solution: Enter the name of the initialization file for PhoneLine file when importing. Message: Invalid or missing PhoneLine initialization file!

    You opened an export map file, and the indexes in the database file are incorrect (for example, this file was modified using an external editor). Solution: Try to reindex the database file. If the message re-appears, re-import the MasterDirectory. Message: This map has been created for a different directory! Continue anyway? Cause: You opened an export or import map file that was created for a different directory.
  • Page 208 Message: Unknown map type! Type is set to PhoneLine. Cause: You opened an export map file with a wrong/unsupported map. Solution: The export map was corrupted or changed. MasterDirectory does not support exporting to this file type anymore, or this file became obsolete.
