Passwords for Meetings
By default, RoomWizard is an "open" system. Its purpose is to help people work more effectively with each other,
in this case by sharing rooms more easily. In reality, reservations made by one person can be modified or even
deleted by another person, just as they could if a reservation was written on a paper calendar or by removing a
sticky note from the meeting room door.
If security is an issue, RoomWizard makes it possible for you to password-protect an individual reservation to
prevent others from viewing, modifying or deleting a reservation you have made.

Your system manager has the option to enable or disable this option.
To password-protect a reservation:

Complete the advanced reservation form as usual.

Enter a password of your choosing in the "Password" field.

Enter the same password again in the "Repeat password" field to be sure that you have typed it correctly.

When you password-protect a reservation, everyone wanting to view or change the reservation must enter the
password. During a password-protected meeting, the Host and Purpose appear on the RoomWizard touch
screen as usual, but neither you nor anyone else can adjust the reservation from the touch screen.
To make changes to a password-protected reservation:

From any computer on the network, enter the RoomWizard address in a web browser.

Navigate to the room and date of your meeting.

Click on your reservation in the timeline. You are asked to enter your password.

Enter the password. The reservation form appears and you can view or change the information, including
the password.
Passwords for Rooms
RoomWizard also provides the option to limit who can reserve specific rooms. For example, if a specific room is
reserved for the exclusive use of a project team, the system manager can assign the room a password and
distribute it only to that project team.
Your RoomWizard system manager can help you set up a password for a room. In this case only those who
know the password can reserve this room.
