    Because RoomWizard interacts with your corporate calendar system, you use your calendar system as usual to find an available room and make a reservation. On the day of your meeting, the RoomWizard’s timeline indicates that the room is reserved. During your meeting, RoomWizard displays the meeting’s host and purpose.

  • Page 9: Making A Reservation

    You can reserve meeting rooms using your corporate calendar system (Microsoft Exchange, Lotus Domino) just as you always have. Because RoomWizard is part of your corporate network, when you arrive at the room in time for your meeting, RoomWizard displays your meeting’s host and purpose, and also provides information about the meeting room schedule for the entire day.

    It prominently displays whether a room is available or if a meeting is in progress. While a reservation is in progress, RoomWizard displays the meeting purpose and host using the information that was entered in your corporate calendar system.

    RONT ANEL The RoomWizard touch screen provides direct interaction with your corporate calendar system. When you interact with the touch screen, dialogues and information appear. However, when simply left alone for a few seconds, the touch screen will always revert back to the original display and no changes are saved unless you confirm them.

    Getting Introductory Information A button labeled “i” is located on the lower right corner of the RoomWizard front panel. Press this button to view introductory information and “how to” instructions for RoomWizard and to see the web address for this RoomWizard’s web page.
  • Page 13 Room details give you quick access to information about the meeting room’s features and accessories. Room details are entered by your system manager when they set up the RoomWizard system. Details include: Room name: The name assigned to this meeting room.

    Notes: Notes to invitees, such as reminders or meeting goals. RoomWizard provides quick access to the names of invitees who are due to attend the current meeting reservation. These names are available if they were entered when the reservation was made using the corporate calendar system.
  • Page 15 If you decide during a reservation that your meeting will take more or less time than you originally anticipated, you can adjust your reservation from the RoomWizard touch panel to let others know of the change. You can extend your reservation unless there is a schedule conflict with another reservation.

    Making an Impromptu Reservation When a room is not currently in use, RoomWizard displays “Available” and the green LEDs on each side of the appliance are visible from long distances down the hall. You can claim an available room for immediate use from the RoomWizard touch screen. If you do, RoomWizard communicates with your calendar system and indicates that the room is reserved so others looking for a room will not interrupt your meeting.

    RoomWizard touch screen.* One-Click Publishing RoomWizard is a web-based system and so is the CopyCam Image Capture system. As a result, the One-Click Publishing option provides a web-based communication link between a meeting room’s RoomWizard and the CopyCam whiteboard in the room.

    One-Click Publishing, Impromptu Meetings, and Exchange Synchronized Systems When you press “Use Now” on the RoomWizard touch screen to reserve a room for immediate use, there is no opportunity to enter reservation information as there would be if you had made the reservation using your corporate calendar system.

    When you arrive at the room to begin your meeting, you may see a green “Start” button pulsing on the RoomWizard screen. This is an option that your system manager may choose to employ. Simply press the “Start” button to begin your meeting, and the button will disappear.

    “Details,” “Adjust,” and “End” buttons for that reservation. RoomWizard also adds a number button on the touch screen for each overlapping reservation. You can press a number to see reservation details immediately without waiting for the screen to cycle.

    Steelcase warrants the RoomWizard appliance to be free from defects in material and workmanship under normal use and care for two (2) years from the date of shipment except as noted below.
