It's a good idea to save a
copy of the document prior
to incorporating review-
ers' comments. Edit the
document using the copy
to preserve the layout and
structure. This way, imported
comments are in the correct
locations on the document.
If you want to distribute
the document and its com-
ments, choose File > Save As
and save with another name.
The newly named file is now
the tracked PDF file, and the
older version, complete with
its comments, becomes an
archived copy.

Sometimes an e-mail review is simpler when you are sending a document
for a single person to review, or when it isn't important to share comments
among reviewers. An e-mail review cycle has three parts: The review is ini-
tiated, the recipient adds comments and returns the comments by e-mail,
and finally, the initiator integrates the comments into the master PDF file.
Follow these steps to set up an e-mail review from within Acrobat:
1. Choose Comments > Attach for E-mail Review to open the Send by
E-mail for Review wizard. Or choose the command from the Comment
task button's menu.

Alternatively, in any program containing a PDFMaker (Windows) you
can choose Adobe PDF > Convert to Adobe PDF and Send for Review, or
click the button on the PDFMaker's toolbar.
2. Step through the wizard's screens:
On the first screen, choose an open document or click Browse and
locate the document you want to send. Click Next.
On the next screen, click the Address list and type addresses, or
click Address Book to open your Outlook address book and select
e-mail addresses (if Outlook is your e-mail program). Click Next.
On the third screen, preview the contents of the invitation and then
click Send Invitation.
3. An Outgoing Message Notification information dialog opens, explain-
ing what happens next. Depending on your security settings, the
e-mail may be sent automatically, or you may need to move through
dialogs approving the mail process. Click OK to dismiss the dialog.
Participants using Acrobat 6 or newer, or Adobe Reader 7 or newer,
can review the file. Once the file arrives in the inbox, open the e-mail
message and double-click the e-mail attachment to open it in Acrobat
or Adobe Reader.
Make comments as desired, and click Send Comments
Comment & Markup toolbar when you finish. A dialog opens explaining
that the comments are being sent back to the initiator, and shows the
e-mail address specified by the originator of the review. You can type a
different e-mail address or choose one from the Outlook Address Book,
just as you can when designing the review. Click Send to close the dialog
and send the comments back to the initiator.
