If your meeting continues beyond your reservation and you continue to capture images, those images are
saved as usual to the CopyCam web server, but they are not emailed to the host or invitees. Instead those
notes are emailed to the room administrator. When you return to your office, ask the room administrator to
forward the captured whiteboard notes to you.
NOTE: note:
You can easily extend your reservation using the RoomWizard touch screen, so captured whiteboard notes
continue to be emailed to the host and invitees. Refer to "Changing the Current Reservation" on page 14.
When RoomWizard is integrated with Lotus Domino calendar systems, whiteboard notes are emailed to the

room administrator. When you return to your office, ask the room administrator to forward the captured
whiteboard notes to you.
To learn the name of the room administrator you can:
press the "Details" button on the touch screen, then press the "Room" button.

When you press "Use Now" on the RoomWizard touch screen to reserve a room for immediate use, there is no
opportunity to enter reservation information as there would be if you had made the reservation using your
corporate calendar system. This has some implications for the RoomWizard One-Click Publishing option when
operating in synchronized mode with Microsoft Exchange.
When One-Click Publishing is available, the RoomWizard system interacts via the web with a CopyCam
whiteboard that is present in the meeting room. Meeting notes that you capture can be emailed by RoomWizard
to individuals who were identified as host and invitees when the reservation was made using Microsoft
Exchange. (Refer to "One-Click Publishing" on page 17.)
However when you make an impromptu meeting reservation, there is no record of the host or attendees, so what
happens to whiteboard notes during an impromptu meeting?
RoomWizard emails captured whiteboard notes during an impromptu meeting to the room administrator. Part
of the responsibility of being a room administrator is to receive and distribute the emails for One-Click Publishing.
