Recording Your Announcements
Before using your new answering system you should record an outgoing announcement. This is the
message that callers will hear when the system answers a call.
NOTE: If you do not record an announcement, the system will answer calls and use the computerized
voice to say, "Please leave a message."
This answering system allows you to record 2 different announcements, Announcement A and
Announcement B. Announcement A can be up to one minute long. Announcement B may be as long as the
tape will permit. However, if the Personal Memo feature will be used, Announcement B should be limited
to one minute or less.
You may switch between the 2 recorded announcements by using the ANNC SELECT switch, located
under the cover. For example, to use Announcement A during the week and Announcement B on
weekends, set the ANNC SELECT switch to A on Monday morning, and move it to B on Friday evening.
Before you record:
1.
Prepare your announcement.
Example: "Hello. I can't come to the phone right now. Please leave your name, telephone number,
and a short message after the beep. I will return your call as soon as I can. Thank you."
2.
Move the ANNC SELECT switch to the announcement you wish to record, A or B. Wait for the tape
to stop moving before continuing.
3.
Set the ANNC ONLY switch to OFF.
You may wish to inform frequent callers that they may bypass the announcement and leave a message when
this feature is turned on by pressing and release * when the announcement begins.
Record your announcement:
Hold down ANNC. After you hear a beep, speak toward the front of the answering system in a normal
1.
tone of voice.
2.
Release ANNC when you are finished. The tape will be reset automatically.
NOTE: If you pause more than 4 seconds while recording, you will hear 5 quick beeps and the system
will stop recording. Wait for the tape to set and record your announcement again.
Playing Back Your Announcements
1.
Use the ANNC SELECT switch to select the announcement you wish to play back. The system will
automatically wind the tape to the beginning of the announcement. Wait for the tape to stop before you
continue.
2.
Set the message VOLUME control to the middle.
3.
Tap (quickly press and release) ANNC.
NOTE: Be sure to release the button quickly. If you hold the button down for more than a second,
your announcement will be erased because the system will begin recording a new announcement.
Automatic Answering Operation
The system is ready to answer calls whenever AUTO ANSWER is displayed in the Message Window. To
turn AUTO ANSWER on and off, press and release AUTO ANSWER.
When the system answers a call, the caller will hear the announcement you recorded, followed by a beep.
After the beep, the system begins recording your caller's message; it stops recording when the caller hangs
up or when the caller is silent for more than 7 seconds. The system then records the day and time of the
call.
