    This guide provides instructions for using the Dolby Conference Phone, as well as  descriptions of all available phone features.  This guide provides the following information: • Introduces you to the phone ® • Shows you how to use the phone with BT MeetMe with Dolby Voice • Shows you how to use the phone as a standard IP conference phone • Shows you how to customize your phone personal settings • Shows you how to troubleshoot common phone issues What’s New in Dolby Conference Phone Software 2.1 The following features are new or changed in the 2.1 software: • Change language displayed on user interface (see Section 5.1.5) • New personal mode feature for executive users (see Section 3.2 and Section 5.1.6) • New activate BT MeetMe with Dolby Voice icon (see Section 3.1) • BT Conferencing failover to standard call (see Section 3.3.1, Section 3.4.1, and  Section 6.6.4)

    • Swipe: This action moves a list of items up, down, left, or right. When you want to  scroll quickly, swipe your finger across the screen, either up, down, left, or right. To  stop your screen from scrolling, press your finger anywhere on the screen. Touching  the screen while it scrolls does not select anything. • Button: This term refers to any physical button on the phone console. Phone buttons  include microphone mute and volume up and down. • Held call: This term describes any call that is held. Audio for held calls cannot be  heard in both transmit and receive directions. • Active call: This term refers to any call, including conference calls, you are currently  in. An active call has audio associated with it. • Action button: This term describes the touchable area that designates the action you  can perform on the selected object. • Onscreen keyboard: This term refers to the QWERTY keyboard that displays on the  screen, allowing you to enter uppercase and lowercase characters, numbers, and  special characters. • Onscreen keypad: This term refers to the keypad—all number keys, the asterisk (*),  and the number sign (#)—that displays on the screen, allowing you to enter passcodes  or phone numbers.     Getting Started with the Dolby Conference Phone Figure 2-1 Dolby Conference Phone Features The following list describes the important phone features: • LED halo: Visual indicator with the following meanings: • Blue indicates an active call connection to BT MeetMe with Dolby Voice  conferencing service. • Green indicates an active call connection to an IP PBX call. • Red indicates that you are muted.  • Mute: Mutes local audio during calls and conferences. The LED halo is red. • Volume up and down keys: Adjust the volume of the speaker and the ringer. • Touch screen: The screen is touch sensitive. Tap to select and highlight screen items.  To scroll, touch the screen and swipe your finger up, down, right, or left. • Microphones: The microphones provide 360° and 20 ft (6.1 m) coverage. • Speaker: Provides ringer and phone audio output.     Dolby Voice ® This chapter provides instructions on how to use your Dolby Conference Phone with BT  ® MeetMe with Dolby Voice  conferencing. Topics in this chapter include: • Entering the Activation PIN • Setting Up Personal Mode • Using BT MeetMe with Dolby Voice as a Participant • Using BT MeetMe with Dolby Voice as a Chairperson Entering the Activation PIN If you enter a chairperson or participant passcode and the phone is not activated with BT  MeetMe with Dolby Voice, you are prompted to enter the activation PIN. Contact your  system administrator for this PIN.     Using Your Dolby Conference Phone with BT MeetMe with Dolby Voice Enter the PIN, and tap  Registering...  displays while the registration process is proceeding. Activation successful!  displays once activation is complete (typically, after one to five  seconds).  If you enter an incorrect activation PIN, you are prompted to try again. If you feel the  activation PIN is correct, contact your system administrator. For troubleshooting  issues, see Section 6.6.4. You can now start or join BT MeetMe with Dolby Voice conferences. Setting Up Personal Mode The system administrator can set up the Dolby Conference Phone in your office as your  personal phone. In Personal mode, your chairperson passcode is saved on the phone,  which allows you to start BT MeetMe conferences faster. You can postpone setting up  Personal mode to a later time; inthat case you must enter your chairperson passcode to start  a conference. In most cases, you must enter a four‐digit PIN to start a conference. If you do not use the  phone for a certain period of time, you must enter the four‐digit PIN again to start another  conference.  Note: If you enter the wrong security PIN three times within five minutes, you are  prompted to reset your security PIN and re‐enter your passcode.  In Personal mode, you can join any other conference without entering the four‐digit PIN.     Using BT MeetMe with Dolby Voice as a Participant If the Dolby Conference Phone is registered and activated, you can use BT MeetMe with  Dolby Voice as a participant. If the phone is not activated, you must enter the activation PIN and wait for the activation  message to display (see Section 3.1). Topics in this section include: • Joining Conferences • Muting Yourself • Requesting Operator Assistance • Leaving Conferences 3.3.1 Joining Conferences Note: If you have been muted by the chairperson, and then the chairperson leaves the  conference, you cannot unmute yourself. Contact the chairperson so they can  rejoin the meeting and unmute the meeting or the participant in question. If you are the only participant in the conference for a certain period of time, you are  prompted to extend the conference. If you do not answer   or   within one minute, the  conference is ended.     Using Your Dolby Conference Phone with BT MeetMe with Dolby Voice Figure 3-11 Active Speakers Screen You can return to the BT MeetMe conference screen by tapping anywhere on the active  speakers screen. 3.3.2 Muting Yourself Mute the microphone—press  —so other parties cannot hear you. You can still hear  all other parties when you mute the microphone.  The LED halo is red when activated. To disable mute, press   again. 3.3.3 Requesting Operator Assistance If you are having issues with conference call, you can request operator assistance. To request operator assistance: From the BT MeetMe conference screen, tap  Tap  The BT MeetMe conference screen displays again and you can still hear the other  participants and can still speak with them. When the operator connects, only you will  hear and speak with the operator. The operator will return you to the conference when  finished. 3.3.4 Leaving Conferences To leave the conference, tap ...

    You can set up conferences from: • Conference rooms or executive offices, if Personal mode is not enabled • Executive offices, if Personal mode is enabled You can easily start a BT MeetMe conference from your Dolby Conference Phone.  If you enter an incorrect passcode, you are prompted to try again. If you feel the passcode  is correct, enter your email address along with your passcode. If you still cannot access  Meeting your meeting, contact your system administrator. For troubleshooting issues like  not found Service Unavailable  or  , see Section 6.6.4.     Using Your Dolby Conference Phone with BT MeetMe with Dolby Voice Do one of the following: If you want to start a BT MeetMe conference with a different chairperson  passcode, or joining someone else’s BT MeetMe conference, tap .  Follow the instructions in If Personal Mode is not Enabled from step 2. b. If you want to start a BT MeetMe conference with your chairperson passcode,  You may be prompted to enter your security PIN. The conference connecting  screen, joining conference screen, and the active BT MeetMe conference screen  display in that order.     Using BT MeetMe with Dolby Voice as a Chairperson Figure 3-17 BT MeetMe Participant Actions Screen Tap  An announcement plays at the participant’s phone and a red microphone icon  displays. The microphone icon changes to red on the chairperson’s phone. When you unmute the participant, an announcement plays at the participantʹs phone  and the red microphone icon disappears.  Ejecting a Participant You can remove a participant from a BT MeetMe conference. To eject a participant: From the BT MeetMe conference screen (see Figure 3‐16), tap   adjacent to the  participant that you want to eject. The BT MeetMe Participant actions screen displays (see Figure 3‐17). To play the roll call: From the BT MeetMe conference screen, tap  The BT MeetMe manage conference screen displays (see Figure 3‐16). Tap  The recording is played to all participants. Locking Conferences You can lock a conference so no more people will be allowed to join. To lock a conference: From the BT MeetMe conference screen, tap  The BT MeetMe Manage conference screen displays (see Figure 3‐16). Off/On Change lock conference   to  An announcement about the conference being locked plays to all participants.     Using Your Dolby Conference Phone with BT MeetMe with Dolby Voice Enabling Do Not Disturb While you are the chairperson on a BT MeetMe conference, you can, by default, answer any  incoming IP PBX call. However, once you enable do not disturb, you won’t receive any such  calls. Note: This feature is only available if the phone is also configured to IP PBX calls. To enable do not disturb: From the BT MeetMe conference screen, tap  The BT MeetMe Manage conference screen displays (see Figure 3‐16).     Adding Another Participant to Conference Calls You can add another participant to the conference by placing a call directly to their phone.  You must dial their complete phone number, including an international area code. They  will be added to the BT MeetMe conference screen, where you can manage them like the  other participants. To add another participant: From the BT MeetMe conference screen, tap  The add BT MeetMe participant screen displays. The dialing out to participant message displays. Tap   to confirm. The message  times out after five seconds.  Note: The first time you add a participant you are asked to enter the participant passcode  (for an extra level of security).     Using Your Dolby Conference Phone with BT MeetMe with Dolby Voice 3.4.5 Ending Conferences Topics in this section include: • Stopping Conferences • Leaving Conferences Stopping Conferences When you can stop the conference, the conference stops for all participants. To stop a conference: From the BT MeetMe conference screen, tap  From the end call screen, tap  Leaving Conferences When you leave the conference, the conference continues for the other participants.  Remember to unmute all participants before you leave (or they will be left in that state), or  set another participant as the chairperson before you leave.     Phone ® This chapter provides instructions on how to use your Dolby Conference Phone as a  standard IP conference phone. For example, you can place and answer calls, put calls on  hold, forward or transfer calls, enable the do not disturb feature, and set up a conference  call by merging an active call and a call on hold together. Topics in this chapter include: • Using Basic Features: Placing, answering, holding, and merging calls, and viewing the  recent call list • Managing Contacts: Managing your contacts and placing calls from your directories Using Basic Features Now that you are familiar with your phone user interface, you are ready to perform basic  phone tasks that you can use on a daily basis. Only one active call—the call that has audio associated with it—can be in progress at any  given time. In addition to the active call, your phone may have one other call that is either  held, or in an incoming or ringing state. The following figure shows an active call to extension 3105 that has lasted 24 minutes and  29 seconds so far. To place a call automatically, tap the recent calls icon   or directory icon  . For  more information on calling from the recent calls list, see Section 4.1.10. For more  information on calling from the directory, see Placing Calls to Contacts from Directories. You are allowed a maximum of two active calls at a time. Calling from the Keypad You can place a call by tapping the appropriate digits on the onscreen keypad.

    Tap  The active call screen displays. See Figure 4‐1. Note: Your system administrator can set up your phone to automatically place a call after  you enter a certain number of digits. If the phone does not automatically place the  call when you finish entering all digits, you can explicitly tap the phone icon. If the  call is placed before you enter all digits, or not placed automatically when you have  finished entering all digits, contact your system administrator. 4.1.2 Answering Calls All incoming calls display in an incoming call screen. If the call is from a contact in your  contact directory, their name displays; otherwise, only the phone number displays, as  shown in the following figure.     Holding and Resuming Calls You can place any active call on hold. You can resume any held call.     Using Basic Features 4.1.6 Transferring Calls When you transfer a call to another person, tap  , and you automatically transfer the  call without talking to the other person. This is called a blind transfer.  To perform a blind transfer: During a call, tap  The call is not held. On the onscreen keypad screen, enter the number of the person to whom you want to  transfer the call and tap  Figure 4-9 Transfer Screen The transfer completes without you speaking with the person on the other end. The  home screen displays. 4.1.7 Forwarding Calls You can set up your phone to forward all incoming calls to another person, known as static  forwarding, or you can forward a call as your phone rings, known as dynamic forwarding.  Your phone will forward calls even if you enable the do not disturb feature.  Note: Configuration changes made by the system administrator have a higher priority  than changes you make through the user interface of the phone. Any change you  make to the forwarding feature may be overridden if the phone reboots. Contact  the system administrator if this occurs.     Customizing Your Dolby Conference Phone 5.1.1 Changing the Backlight Brightness You can adjust the backlight brightness of your phone. The brightness level is normally set  at 80% of the maximum level.  The backlight turns on automatically with any phone activity (for example, an incoming  call or tapping the screen to place a call). The backlight lowers to a 20% level automatically  when the phone is not in an active call and has been idle for more than 30 seconds. Any change you make to this setting is persistent. (That is, it remains even if the phone  reboots or the software upgrades.)
