Inserting data fields in the target
document
When you select the data source, a list of data field
names appears in the Data Merge palette. These
names are identical to the column heads from the
data source file. Icons indicate whether the field is
text or an image
. You can select and format
fields as you would any other text or graphic.
If text is selected when you insert an image field, a
half-inch by half-inch placeholder replaces the
selected text. You can resize this placeholder to
determine the size of the merged images. Also, you
can assign an image field to a graphic frame.
Once you insert a data field, InDesign remembers
its data source. Any errors in the list of fields, such
as typos, empty fields, and unintended field types,
must be corrected in the source application and
then updated using the Data Merge palette.
To insert a field:

Do one of the following:

Click an insertion point in the text frame where
you want the field to appear.
•
Select the text you want to replace.
Select a graphic frame.
•
Do one of the following:

Click the row in the Data Merge palette list that
•
matches the data you want to appear.
Drag the field name from the Data Merge
•
palette list, and drop it onto the text or graphic
frame to add the placeholder.

Text fields appear in the target application within
double angle brackets (<<Name>>) using the
current formatting attributes (such as font and
size). Image fields appear as frames containing the
field name.
Note: You cannot create a valid field by simply typing
the field name or editing an existing field.
To insert a field using drag-and-drop:
Do one of the following:
To insert a new paragraph, drag a text field onto
•
a text frame.
To insert a new inline graphic, drag an image
•
field onto a text frame.
To insert a new floating graphic, drag an image
•
field onto an empty graphics frame.
To insert a field into grouped items, table cells,
•
or nested items, drag the text or image field onto
the target.
Note: If you drag a field onto an empty frame, the
empty frame becomes a text frame (text field) or an
image frame (image field) depending on the type of
data you are dropping onto it.
Working with placeholders
When you add a text data field to a document, the
placeholder text for the field is entered using the
formatting attributes (such as font and size) active
at the insertion point. You can then edit the
placeholder text's attributes to control the look
of the actual data.
