    Introduction Using This Manual Thank you for purchasing a Brother FAX/MFC. This FAX/MFC has been designed to be simple to use, with LCD screen prompts to guide you through functions. However, you can use your FAX/MFC to its fullest potential by taking a few minutes to read this manual.

    Fax Tones and Handshake When someone is sending a fax, the FAX/MFC sends fax calling tones (CNG tones)— soft, intermittent beeps at 4-second intervals.     Choosing a Location Place your FAX/MFC on a flat, stable surface, such as a desk. Select a place that is free of vibration and shocks. Locate the FAX/MFC near a telephone jack and a standard, grounded power outlet. Avoid placing your machine in a high-traffic area. Do not place near heaters, air conditioners, water, chemicals or refrigerators.

    Multi-Line Connections (PBX) Most offices use a central telephone system. While it is often relatively simple to connect the FAX/MFC to a key system or a PBX (Private Branch Exchange), we suggest that you contact the company that installed your telephone system and ask them to connect the FAX/MFC for you.

    Set MESSAGE STORE (Function menu 8-1) to VOICE:EXT. (Only for FAX-685MC and MFC-960MC) Set the Answer Mode to TAD:ANSWER MACH.     Connecting an External Telephone Your machine is equipped with a handset that you can use as a regular phone. However, you can also connect a separate telephone to your machine, as shown below.     Setting Beeper Volume You can set the beeper to LOW, HIGH or OFF. The default setting is LOW. When the beeper is set to LOW or HIGH, the FAX/MFC beeps every time you press a key or make an error, and at the end of fax sending or receiving. Press Menu/Set, 1, 4.

    Setting the Speaker Volume You can adjust the speaker volume when your FAX/MFC is on hook (after you pressed Hook or Speaker Phone), by selecting a speaker volume level. Press to adjust the volume level. The display shows the setting you are choosing.

    To get the Caller ID Service: apply for the Caller ID service at your local telephone company, if available. To PABX Users : Calling line identification signals are not generally delivered to your Brother FAX/ MFC if it is connected behind a private branch exchange (PBX) system or other call routing device.

    You can display the caller IDs that are stored in the memory and select the caller you want your machine to dial. Call Reply is a convenient feature whereby your Brother fax can dial back a voice/fax call “on-hook” to the opposite party associated with a Caller ID number which has been captured into memory.

    Secure Polling is a way to keep your documents and others’ from falling into the wrong hands while the FAX/MFCs are set up for polling. You can use Secure Polling only with another Brother FAX/MFC. Your four-digit ID number must be entered on the FAX/MFC that polls for your documents.

    Setup Send Automatic Document Feeder (ADF) Originals must be between 14.8 and 21.6 cm wide, and 15 and 60 cm long. Your FAX/ MFC can only scan an image 20.8 cm wide, regardless the paper width. Make sure you place the original face down, top edge first. Adjust the paper guides to fit the width of your original.

    Manual Transmission Manual transmission lets you hear the dial tone, ringing and fax receiving tones before sending the fax. Place the original face down in the ADF. Pick up the handset and listen for a dial tone —OR—press Hook or Speaker Phone and listen for a dial tone. Enter the fax number you want to call.

    Next-Fax Reservation Even if your FAX/MFC is receiving another fax, you can set your machine to send your fax next.     Automatic Dial Numbers and Dialing Options Storing Numbers for Easy Dialing You can set up your FAX/MFC to do three types of easy dialing: One Touch, Speed Dial, and Groups for Broadcasting of faxes. If you lose electrical power, automatic dial numbers in memory will not be lost. Storing One Touch Dial Numbers You can store four fax/phone numbers that you can dial by pressing one key (and Start).

    Setting Up Groups for Broadcasting Groups allow you to send the same fax message to many fax numbers by pressing only one One Touch key (Broadcasting). First, you’ll need to store each fax number as a One Touch or Speed Dial number. Then, you can combine them into a Group. Each Group uses up a One Touch key.

Remove the print cartridge containing the used ribbon and set it upside—down with the blue gear in the upper left corner.
